Privacy policy

Last updated: October 22, 2026.

This policy describes how the TrackNotes web application uses information when you sign in, maintain a motorsports logbook, and use account or membership features.

Contact TrackNotes

For privacy requests, account questions, or billing support, contact TrackNotes support at [email protected].

Information used by TrackNotes

TrackNotes stores an internal account ID, email address, Google sign-in identifier, account security metadata, membership status, and account and login timestamps. It stores the vehicle profiles, setup and tire measurements, wheel records, events, conditions, runs, track sessions, laps, drag timing information, packing lists, debriefs, next-event plans, and notes you enter, along with preferences and onboarding progress. Account activity records include timestamps and descriptions of actions such as creating an event. For new accounts, it records the Terms version you accept and when you accept it.

This information supports sign-in, access to your own logbook, saved settings, performance comparisons, getting-started guidance, and membership features. Authorized administrators can review account information, activity, membership, and operational records through the admin portal.

Google sign-in

TrackNotes requests Google identity scopes (openid and email) to authenticate you. It uses Google's account identifier and verified email to create or locate your account. It does not request the profile scope, save Google access or refresh tokens, or request Gmail, Drive, or Calendar access. Your Google password is handled by Google. See Google's privacy policy.

Cookies and browser storage

TrackNotes uses cookies for its signed-in session, temporary Google authentication, form protection, account status messages, and account-deletion verification. Signing out ends the TrackNotes session; it does not sign you out of Google. Saving preferences remembers your appearance in a browser cookie and in account settings; a first visit does not create that preference cookie. See the Cookie policy for purposes, durations, and controls.

Payments and service operation

When Stripe billing is enabled and you use it, TrackNotes sends your email and internal account ID to Stripe to create a billing customer. Stripe handles checkout and payment details. TrackNotes stores customer and checkout identifiers, subscription status, billing timestamps, and webhook processing records to manage membership.

The application can record operational counters, request timings, trace identifiers, and warning or error details for troubleshooting. Hosting and reverse-proxy services process requests to deliver the site. Google and Stripe process information involved in their respective sign-in and payment services under their own privacy policies.

The web application does not add advertising or third-party audience analytics scripts. It does not require your phone number, postal address, date of birth, or device location to maintain a logbook. Event locations and other optional details are information you choose to enter. Avoid putting sensitive information about yourself or others in notes.

Stripe-hosted payment services can request billing information for payment, tax, or fraud prevention. See Stripe's privacy policy. Refund requests follow the Refund policy.

TrackNotes uses your logbook information to provide the service and does not share it with sponsored partners or other businesses for their own use. The service processing described above, including Google authentication and Stripe billing, is necessary to provide those features. Links to sponsored partners take you to separate websites with their own privacy practices.

Deletion and retention

Account settings offer a download of account identity information and account deletion after verification with the same Google identity. Convenient CSV and JSON logbook exports are a Premium feature; personal-information requests through support are available at no charge regardless of membership. Completed account deletion permanently removes the account and its related records from the application's active database. Those records cannot be recovered through TrackNotes. When billing is enabled, the application first attempts to close billing.

Inactivity cleanup is enabled in production. Standard accounts are eligible for deletion after 367 days without a login. Premium membership and certain billing states protect accounts from this cleanup; paid access also provides 30 days of protection after it ends. This protection does not extend paid features.

Keep your own backups of information you want to preserve before deleting an account or allowing it to become inactive. TrackNotes does not provide a personal backup or recovery service. Account deletion does not delete your Google account, copies you have saved, or independently retained operational or payment-provider records. Backup and provider copies have separate lifecycles; no fixed retention period for those copies is specified here.

Account activity, onboarding progress and Terms acceptance remain with your account until account deletion. Application operational logs are bounded to about 5,000 recent entries or 90 days, with daily counters retained for 365 days. Hosting logs, support messages, backups and payment-provider records have separate retention needs; contact support about retained information relevant to your request.

Privacy controls

You can review and edit your logbook and settings, download account identity information, and request account deletion from account settings. Google account permissions can be reviewed in your Google account. Removing Google's permission does not itself delete TrackNotes records or necessarily end an already active TrackNotes session.

The public privacy requests and data deletion page explains how to request access, a copy, correction, or deletion, including if you cannot sign in. We may need to verify that a request relates to your account before providing information or deleting it. Do not email passwords, full card numbers, or identity documents.

Depending on the law that applies to you, you may have additional rights concerning access, correction, deletion, or other uses of personal information. Contact [email protected] for privacy requests. The account controls described here do not replace or restrict those rights. Security concerns can be reported through the contact listed in TrackNotes' security disclosure information.
